ATS Resume Keywords: How to Find Them and Where to Put Them
Keyword optimisation has a bad reputation because most advice describes stuffing. Done properly it is closer to translation: saying what you already did, in the words the employer searches for.
What counts as an ATS keyword?
Four categories, roughly in priority order:
- Hard skills and tools - Snowflake, Kubernetes, NetSuite, HL7.
- Job titles - the requisition title and its common variants.
- Certifications and qualifications - PMP, CPA, RN, SHRM-CP, Security+.
- Domain and methodology terms - revenue cycle, GAAP, agile delivery, SOC 2.
Soft-skill phrases ("team player", "detail oriented") are almost never searched and waste line space.
How do I find the right keywords in 15 minutes?
- Paste the job posting into a text editor.
- Highlight every noun in the Requirements and Responsibilities sections.
- Mark terms that appear twice or more - those are weighted.
- Split into: have and can evidence, have but not on resume, do not have.
- Ignore the third bucket entirely. Never claim it.
- Place bucket one and two into the resume.
Where should keywords go?
Summary (2-3 lines). Role title + domain + two or three core tools.
Skills section. A grouped, scannable list - not a 60-term wall. Twelve to eighteen terms is plenty.
Experience bullets. The strongest placement. "Cut month-end close from 9 to 4 days by automating reconciliations in NetSuite" carries the keyword and the evidence.
Job titles. If your internal title is unusual, add the market equivalent in parentheses: Growth Ninja (Digital Marketing Manager).
How many keywords is too many?
If a term appears more than three times across the document, or a human reading the page would call it repetitive, you are over. Match quality beats match count in both AI scoring and human review.
What about the tricks people recommend online?
- White text keyword blocks: extracted by the parser, visible in plain-text profile view, treated as deception. Do not.
- Keyword footer in tiny font: same outcome.
- Copying the whole job description: produces obvious duplicate phrasing and reads as a bot.
A per-application routine that takes 15 minutes
- 5 minutes: extract and bucket the keywords.
- 5 minutes: update your summary and skills line.
- 5 minutes: rewrite two experience bullets to carry the top terms with real numbers.
Save each tailored version as role-company.pdf. After ten applications you will have a reusable library and the routine will drop to five minutes.
