How to check if your resume is ATS-readable (a 10-minute self-test)

Before a recruiter reads your resume, software has to. Here's how to check — yourself, for free — whether that software can actually read what you wrote.

"ATS-readable" means one thing: when an applicant tracking system pulls the text out of your file, your name, job titles, dates, and skills come out complete and in the right order. If they don't, it doesn't matter how qualified you are — the recruiter searching the system won't find you. You can test most of this in about 10 minutes.

Step 1: The plain-text test

Open your resume, select all, copy, and paste it into a plain text editor (Notepad, TextEdit in plain-text mode, or an empty email). This is roughly what a parser sees.

  • Is everything there? Missing lines often mean text was in a header, footer, text box, or image.
  • Is it in order? If job titles and dates are jumbled together, a two-column layout or table is confusing the reading order.
  • Are there strange characters? Icons, skill bars, and custom fonts often turn into boxes or question marks.

Pass: the pasted text reads top to bottom like a normal document.

Step 2: Check your section headings

Parsers look for familiar labels to decide what each block is. Use standard headings: Summary, Experience, Education, Skills, Certifications. Creative titles like "My Journey" risk the whole section being misfiled.

Step 3: Check dates and job lines

Every role should have a title, employer, and dates in the same format (for example "Mar 2022 – Present"). Mixed formats can throw off years-of-experience calculations. If you have an employment gap, a short honest line ("Career break — caregiving, 2019–2023") reads better than leaving the parser to guess.

Step 4: Check the file itself

  • Use .docx or a PDF exported from Word or Google Docs.
  • Avoid PDFs exported from design tools — some store text as shapes the parser can't read. The plain-text test in Step 1 will reveal this.
  • Name the file clearly: "FirstLast_Resume.pdf".

Step 5: The keyword check (job-specific)

Readability gets you parsed; keywords get you found. Open the job posting and list the 8–12 skills, tools, and qualifications it repeats. Then search your resume for each exact phrase. If the posting says "project management" and you wrote "led initiatives," a recruiter's search may skip you. Use their wording where it's true for you — ideally inside an achievement bullet, not only in a skills list.

What an ATS checker can — and can't — tell you

An automated checker speeds up the steps above, but be clear about its limits. Our free ATS resume checker reads your resume text and returns:

  • A 0–100 ATS compatibility score and a pass/needs-work verdict
  • 3–5 specific issues, ranked high, medium, or low impact
  • A plain-English fix for each one

What no checker — ours included — can honestly promise:

  • How a specific employer's system is configured. Workday, Greenhouse, and others are set up differently by each company. A score is an estimate against common rules, not a guarantee.
  • Whether you'll get an interview. Humans still make the call, and things like referrals and timing matter.
  • Hidden "knockout" questions. Many rejections come from application questions (location, work authorization, years of experience), not the resume.

Treat a checker as a fast second opinion on the self-test, then fix the highest-impact items first.

A quick checklist

  • Plain-text paste reads cleanly, top to bottom
  • Single column, no tables, text boxes, or headers/footers holding content
  • Standard section headings
  • Consistent date format on every role
  • .docx or a text-based PDF
  • The posting's key phrases appear in your resume, in context
