What is the Workday ATS, in one sentence?

Workday is a human-capital management platform that handles job postings, resume parsing, and applicant scoring for thousands of large employers, and it requires applicants to re-enter their work history into a structured form even after a resume is uploaded.

That second half is the part most candidates miss. Workday is not just reading your PDF — it is trying to map your PDF into database fields. When the mapping fails, your profile shows up to recruiters with blank job titles, missing dates, or scrambled bullets.

Why does Workday reject so many qualified resumes?

Three reasons, in order of how often we see them:

  1. Multi-column layouts confuse the parser. Workday reads top to bottom, left to right. A two-column resume gets stitched into a single column that interleaves a sidebar with your job history.
  2. Headers and footers get dropped. Workday's parser routinely ignores anything inside a Word header/footer region — including your name, phone, and email if you put them there.
  3. Icons, tables, and text boxes break field extraction. A phone number rendered next to an icon often parses as the icon's alt text or as nothing at all.

The result is not a low keyword score. The result is a profile so broken the recruiter cannot even tell what you do for a living.

How does the Workday resume parser actually work?

Workday uses a layered parser that runs in roughly this order:

  • Text extraction from the PDF or DOCX file using positional coordinates.
  • Section detection based on common headers (Experience, Education, Skills, Certifications).
  • Entity extraction for job titles, employers, dates, locations, schools, and degrees.

PDF or DOCX — which one should you upload to Workday?

Upload a text-based PDF. Workday parses both formats, but PDFs preserve your intended layout across operating systems and font rendering engines, which reduces the chance of a column collapse or font substitution mid-parse. The only time DOCX wins is when the employer's portal explicitly asks for one — some Workday tenants do.

Never upload a PDF that started life as a screenshot or a scan. If you can highlight the text in Preview or Acrobat, you are fine. If your cursor turns into a crosshair, the parser sees an image with zero readable text.

The 12-point Workday formatting checklist

Run every resume through this list before you submit. It takes two minutes and prevents about 80% of parsing failures we see in our scanner.

  1. One column only. Delete any sidebar, even a thin one.
  2. No headers or footers. Move your name and contact info into the body of the document.
  3. No tables. Convert any skill grids or two-up layouts into plain bullet lists.
  4. No text boxes. They render fine on screen and disappear in the parser.
  5. No icons next to contact info. Phone, email, LinkedIn — plain text only.
  6. Standard section names. "Experience" not "Where I have made an impact." "Education" not "Academic journey."
  7. Job title on its own line. Then company, then location, then dates — each on a new line or separated by a single pipe.
  8. Dates in Month YYYY format. Avoid "Q3 2024," "Spring '22," and date ranges that span multiple lines.
  9. Bullets, not paragraphs. Workday's entity extractor handles bullet points more reliably than dense prose.
  10. Body font 10–12pt. Anything smaller risks OCR fallback. Anything decorative (script, display, hand-drawn) risks character substitution.
  11. Page margins ≥ 0.5 inch. Tight margins push text into regions the parser sometimes ignores.
  12. File name without special characters. firstname-lastname-resume.pdf is safe. Spaces, parentheses, and emoji are not.

Should you copy the job description into your resume?

No, and Workday is specifically tuned to detect it. Repeating the job description verbatim, hiding white-on-white keyword stuffing, or padding the document with invisible terms will either get filtered as spam or flagged when a human opens the file.

The right move is to mirror the language of the job description — using the exact phrasing the employer uses for the skills you genuinely have. If the requisition says "stakeholder management," do not write "managing partners and clients." Write "stakeholder management" once, in context.

How do you handle the Workday application form after the upload?

Even with a perfect resume, you still have to manually fix the auto-filled application. Plan for this:

  • Re-check every job title and date. The parser frequently swaps a manager title with a senior manager title from the next role, or shifts dates by a month.
  • Re-paste your bullets. Workday's textarea fields strip formatting; bullets often arrive as one long sentence. Re-add line breaks.
  • Fill in the Skills section manually. Do not rely on the auto-extracted skills list. Add 8–15 specific skills from the requisition that you genuinely have.
